I know it is hard to believe that the year is coming to an end. It seems to happen quicker than we anticipate, but it can be a valuable time to review the health of our practice. We all know how important it is to keep track of statistics from week to week and month to month, but a critical year end review can really help you step back and see the forest for the trees.
Weekly stats including patient visits, new patient visits, patient visit average, total services and total collections are the basic building blocks of a consistent real time assessment. Remember that weekly stats can vary based on many factors including holidays, vacation and even weather events. Monthly stats should also include cash, insurance, PI, and Labor and Industry services/ collections for a broader understanding patient income sources. An end of the year statistical comparison is essential for establishing a sense of the overall health of your practice from one year to the next.
The first thing to look at during your year-end comparison is collections vs. services. This is the best way to assess the ability of your staff to collect for services rendered. I am beyond fortunate to have an excellent staff who’s collection percentage is consistently above 95%. I understand that the accepted industry average is often considered anything above 85%, but losing 15% of services is like working an entire month for with no income. If I saw that my year-end collections were anything less than 95%, I would absolutely be bringing my entire staff together to talk about what has changed and what we need to do immediately to correct the issues.
Now is the best time to review your yearly budget and plan for next year. A deep dive into the profit and loss statement of your business at year end will help you identify costs that are building profit in your business and costs that are unnecessary.
This is also a great time to go over the various events and promotions we did in the past year to assess the patient value and return on investment. Hopefully, you and your staff took thorough notes following any promotions during the year and filed them away, now is the time to go over what worked, what did not and what needs to be improved if you intend to do it again next year.
That brings an especially important step in the year end process, preparing your calendar for the next year. I sit down with my partner first and we create a rough version of our monthly agenda including promotions, events, monthly health topics and holiday schedules. We then present the rough draft to our staff and iron out any fine details. I will print out a copy of the calendar for every staff member so that they know what is ahead and what they need to do to be prepared. This form contains specific verbiage for our white boards in our patient rooms, topics for our newsletter, dates we will be closed for holidays and vacations as well as action steps to take in preparation for the months ahead.
All of these critical steps can be taken in one day as long as you have access to your stats, your EHR records, your accounting records, and your calendar. I can promise you that spending a solid day prepping for the upcoming year will save you a months’ of sleepless nights next year, freeing up your staff to work the plan and allowing you to focus on caring for your patients.
