 more. Things that at this moment seem trivial, but things, that if you don’t obtain now, you will  that somewhere down the road, a project your Association is facing will desperately need.


I don’t mean to trivialize the process of the transition meeting itself, but it is my opinion, it is the least complicated piece of the puzzle. It’s the transfer of the Association’s property and records as well as the actions the newly elected Board of owners must accomplish shortly after being elected that can impact the Association in the long run.


Since I am a fan of a good checklist, I recommend creating one from the state law, consisting of all the items needed, and check them off as you obtain each one. Create electronic copies of all the documents and distribute them, on a thumb drive, to the owners at the transition meeting. These electronic copies can also be made available to all owners through their desktop portal if available. There are no secrets in these documents. They are for the public consumption of your owners. Transparency begets trust, trust begets happiness, happiness begets involvement.


A new Board will face a whirlwind of activity following the election; read, review and get training! So, since you now serve on the Board of a REAL Association, some activities to consider:


Organizational “Audit”


This not only means retaining a CPA to perform your transition audit, but, review your covenants, rules and collections resolutions. If you don’t have all the tools you need to be a successful organization a good manager or attorney can assist.


Physical & Common Elements “Audit”


Do you know where the main water shut offs are? What about the common area electrical meters? Do you know who is  study specialist can assist.





Irrigation is a huge one here. Some builders will hook up entry way irrigation onto the model home’s irrigation meter. Years go by until the poor homeowner realizes his irrigation bill is 10 times higher than his neighbors. What about the roads? Are they private or does the city maintain them?


Evaluate Contractors — Insurance, Management, Landscape


Under state law, a new owner Board may terminate any contracts executed by the builder. Ensure you have all contracts for all vendors and engage an attorney if something seems “off”. However, keep in mind that many of these vendors are also a great source of information about your Association.


 Commit to attending a Board leadership training class, Saturday seminars and CA Day. The networking and education are invaluable.
